Event lighting is a different product entirely
The distinction matters: permanent systems are infrastructure, event lighting is staging. Weddings, receptions, corporate evenings: temporary displays for a specific occasion. That changes the whole approach, starting with the fact that there is no second chance at it.That single fact shapes everything else about event work. An installation is judged over years. An event has one performance. Everything is agreed in advance, since improvising on the day is how events go wrong.
The one thing you cannot negotiate
Permanent work has flexible scheduling. An event has a date. The lead time is longer than the work implies. Even a modest setup has the same steps, and those steps take the time they take.
Power is the question nobody asks
Indoor events have outlets. Outdoor ones frequently do not. Where the power comes from, how far it has to travel, and how the cable is managed are questions worth settling early. A beautiful plan with no way to power it is a drawing.And whoever is handling the lighting needs to know about the other vendors, since everybody working that space is competing for the same power and the same corners.
The contingency conversation
Outdoor events are subject to whatever the day brings. It is worth having the rain conversation in advance, even though nobody enjoys it. Knowing the plan B before you need it is worth more than any fixture choice.
Where to put the effort
Two categories: the parts people photograph and the parts people walk on. Atmosphere comes from the canopy and the feature areas. Function covers paths, level changes and exits, and it only gets noticed when it is missing. Both need to be in the plan. Only one of them gets remembered fondly.
Working with the site
Venues have rules, and they are rarely negotiable on the day. Access windows, load in times, attachment restrictions, and the strike deadline are all set by the venue, not by you. Introduce them early. It is free and it prevents the most.
How much is actually enough
The instinct with an event is to fill the space. Outdoors after dark, a modest amount of light goes a very long way. Contrast is what makes an evening look like an occasion. Even brightness makes it look like a work site. A designer who says the plan is already enough is doing you a favor.
